1. Who we are

Wheelie Fresh & Clean is a family-run wheelie bin cleaning service operating in South East Kent. We are the data controller for the personal data described in this policy. If you have any questions about how we handle your data, please contact us using the details at the end of this page.

This policy explains what personal information we collect when you sign up for and use our service, why we collect it, how we look after it, and the rights you have over it.

2. Information we collect

When you sign up and while you are a customer, we collect:

  • your name;
  • your email address;
  • your telephone number;
  • your postal address and postcode (so we can confirm you are in our service area and clean the right bins);
  • details of the bins you want cleaned and your council collection day and time (so we can plan our rounds);
  • the service plan and price you signed up for.

We do not collect or store your card or bank details ourselves (see "Payments" below).

3. Payments

Payments are processed securely by Stripe. When you enter your card details they are sent directly to Stripe: your full card number never touches our servers. Stripe holds your payment details and processes your recurring or one-off payment on our behalf as a separate data processor. We receive only the information we need to manage your account (for example, your name, email, billing postcode, and whether a payment succeeded or failed). 4. Email

We send transactional emails (such as your welcome message, receipts, service reminders, and account links) using ZeptoMail (a Zoho service) as our email delivery provider. To send these, your name and email address are shared with ZeptoMail purely so the message can be delivered. These are service emails relating to your booking; you can opt out of any non-essential marketing communications at any time.

5. How we use your data and our lawful basis

We use your personal data to:

  • set up and provide your bin cleaning service;
  • plan and carry out our cleaning rounds;
  • take payment and manage your subscription;
  • contact you about your service (reminders, changes, and support).

Our lawful basis for this processing is performance of a contract with you (delivering the service you have signed up for). Where we are required to keep records for tax or accounting purposes, our basis is compliance with a legal obligation.

6. Who we share your data with

We only share your personal data with the trusted service providers we rely on to run the service:

  • Stripe: to process payments;
  • ZeptoMail: to send you service emails.

We do not sell your personal data, and we never share it with third parties for their own marketing. We may disclose data if we are required to do so by law.

7. How long we keep your data

We keep your account and booking information for as long as you are a customer and for a reasonable period afterwards so we can deal with any follow-up queries. We keep records needed for tax and accounting (for example, payment records) for the period required by law, which is normally six years. When data is no longer needed, we delete it.

8. Your rights

Under UK GDPR and the Data Protection Act 2018 you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to erase your data ("the right to be forgotten");
  • restrict or object to certain processing;
  • request a copy of your data in a portable format.

To exercise any of these rights, just get in touch using the details below. If you ask us to erase your account, we will delete your details from our records and from Stripe, which also cancels any active subscription. You also have the right to complain to the Information Commissioner's Office (ICO) if you are unhappy with how we have handled your data.

9. Keeping your data secure

We take appropriate measures to keep your personal data safe and to prevent unauthorised access. Payment details are handled entirely by Stripe, a certified payment provider, and are never stored on our own systems.

10. Cookies and analytics

By default our website uses only the cookies that are strictly necessary for it to work. With your consent, we also use analytics and advertising cookies to understand how the site is used and to measure our advertising. These are managed through Google Tag Manager and may include Google Analytics and the Meta (Facebook) Pixel.

When you first visit we ask whether you accept these cookies. Nothing non-essential is loaded unless you choose "Accept", and you can change your decision at any time using the "Cookie preferences" link in the footer. Our lawful basis for these cookies is your consent, which you can withdraw at any time. If you accept, information about your visit (such as pages viewed and whether you completed a sign-up) is shared with Google and Meta as separate controllers — see the Google Privacy Policy and the Meta Privacy Policy.

11. Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with a revised "last updated" date.
